Specify core interface, reel outside diameter and reel mass separately. A reel that fits one requirement may fail another, and a familiar nominal core size does not define the complete receiving envelope. Obtain the packing site’s requirements from its responsible team and agree how the supplied reels will be identified. This guide helps buyers collect the necessary interface information without inventing machine limits or handling instructions.

Ask the site for its full envelope

The core must interface with the receiving equipment, while reel diameter and mass affect the space and handling arrangements available. Ask the site to supply a controlled requirement sheet identifying the applicable equipment. Include web width and any reel presentation requirements. Do not assume another line at the same plant accepts the same envelope. Record the source of each requirement, whether it is an equipment document or an approved site standard, so a later change can be reviewed by someone with authority rather than guessed from past orders.

Keep maximum values and supply targets distinct

A maximum permitted value is a boundary, not necessarily the preferred delivery condition. Ask the converter what reel targets it proposes within the confirmed envelope and how variation will be communicated. Discuss the resulting number of reels and the commercial quantity basis without assuming every reel will contain identical usable length. Different structures, web widths and reel construction can change the relationship between length, mass and diameter. Obtain the actual supplier basis where conversion is needed; avoid a universal calculator that conceals assumptions about thickness, density or winding.

Connect receiving checks with line acceptance

Agree what will appear on the reel and shipment identification records and how the site will compare it with the approved envelope. Follow the site’s equipment and handling procedures rather than improvising lifting or storage methods. If a reel arrives outside the agreed requirement, record the discrepancy and refer it to the responsible team before use. A purchasing decision to accept a commercial quantity does not establish that an out-of-envelope reel can be safely handled or run. Keep those approval responsibilities separate in the record.

Create a receiving-envelope sheet

Use this sheet to collect the machine and site requirements before requesting a final reel proposal. The receiving team should be able to identify the applicable line and the approved supply limits from it.

RecordWhat to capture and how to use it
Equipment identityRecord the receiving line, relevant reel station and requirement-document revision. Name the site owner who can confirm the interface, especially where several lines or outsourced packing sites have different reel acceptance conditions.
Core interfaceRecord the required core dimensions and relevant construction details as provided by the site. Distinguish internal and external measurements explicitly, and ask the converter to confirm its proposed supply against the stated requirement.
Reel envelopeRecord permitted outside diameter, width and mass with units and their source. Keep these as separate fields so compliance with one dimension cannot be used as evidence that the entire reel fits the receiving operation.
Supply targetsAsk the converter to state the proposed target reel configuration and any expected variation within the agreed limits. Link it to quantity and labelling discussions so receiving staff know what normal supply should look like.
Receiving decisionDefine which discrepancies require a site review and who can accept or reject them. Record observed identity or dimensional issues before use, keeping commercial quantity acceptance separate from technical and handling approval.

Review the sheet with both the converter and the receiving site. The buyer can resolve quotation scope, while equipment and handling questions remain with the people who own those systems and procedures.

Illustrative partial specification

An enquiry specifies only a nominal core interface. The supplier proposes a reel configuration that may meet that field, but the buyer has not confirmed its outside diameter or mass against the co-packer’s receiving requirements. The buyer therefore collects the complete envelope and asks for an updated proposal. No conclusion is drawn about whether the original proposal could run. The correction is to obtain the missing site evidence, not to add a guessed universal reel diameter to the purchase order.

IoPP/SPMC provides specification context. Glenroy describes custom roll finishing.

Treat mounting, clearance and handling separately

The receiving envelope has at least three questions. Can the core engage the mounting arrangement? Can the reel rotate within the available space? Can the site receive and handle its mass using the approved method? A core diameter alone answers none of these completely. Obtain the relevant dimensions and limits from the actual equipment and handling owners.

Mark core internal diameter, core width, web width and maximum reel outside diameter on a cross-section. State which values are required targets and which are upper limits. Ask whether the receiver needs the core flush with the web or another arrangement. Record the source document for each requirement so a later purchasing change can return to the correct owner.

Understand why diameter is not quantity

A reel's outside diameter depends on the wound material as well as its core. Film thickness and winding condition influence how much material fits within a given diameter. For purchasing, retain the agreed quantity basis separately rather than assuming every reel of the same outside diameter contains the same usable length or pack count.

The SPMC rollstock specification guide discusses roll diameter, core characteristics and roll width as distinct fields. Its medical-packaging examples support the need for explicit specification, not a universal reel configuration. Use the actual site envelope and supplier agreement to set the receiving requirement for this project.

Compare a supply target with an equipment limit

Suppose an illustrative line has a documented maximum outside diameter of 500 mm, while the supplier proposes a normal supply target of 450 mm. These values serve different roles. The first is an equipment boundary; the second describes intended supply. Neither should silently replace the other, and the actual values must come from the project rather than this example.

Ask how variation around the supply target will be managed and what receiving staff should do if a reel exceeds the agreed acceptance condition. A reel below the physical maximum may still differ from the ordered supply arrangement. A reel that meets a purchasing target may still be unacceptable if its mass or mounting interface exceeds another confirmed limit. Review all interfaces together.

Record the delivered unit as it is handled

Identify whether the site handles an individual reel, a wrapped reel or a palletised group at each stage. The approved handling method can differ between receipt, storage and line loading. Ask the site to define its procedure; this article does not specify lifting actions or load ratings. The useful buying information is the delivered configuration and the confirmed receiver's constraints.

Inspect and record visible damage or distortion through the receiving procedure before the material is issued. Keep the reel identity connected to the observation. A photograph should show the relevant core or edge condition without losing the label reference. The responsible owner can then decide whether the condition affects mounting, web running or another requirement.

Keep changes from becoming accidental substitutions

A supplier may propose a different reel length or outside diameter for logistical reasons. Ask which envelope fields change and whether quantity, label information or handling arrangements also change. Route the proposal to the owners of those interfaces before acceptance. Do not treat “same film” as proof that every delivered reel configuration is equivalent for the site.

For a repeat order, confirm that the line and receiving procedure still match the approved envelope. If another site will use the material, create or confirm its own receiving reference. A common film specification can serve several sites only when the delivered configuration meets each agreed interface. This keeps a straightforward procurement decision connected to the real equipment and handling conditions.

Unwind direction: a practical specification example

A packing team receives a film quotation with a web width but no approved drawing. Before comparing prices, relate the film to one complete pack cycle and to the way the reel will be loaded. A change to the final pack can alter several reel parameters at once. Keep the drawing, artwork revision and reel specification together so a repeat order describes the same item.

For this decision, start with the printed side and artwork reading direction. The useful output is an unwind diagram approved from the loading position. Put that output beside the relevant quotation, drawing or sample rather than leaving it in a separate email. This is an illustrative decision exercise, not a report of a completed customer trial.

Product references to make the discussion concrete

The catalogue includes chocolate and energy-bar wrappers and side-gusset pouches. These examples show different physical constructions; they are not interchangeable specifications. Compare clear and paper-look wrapper references around the actual bar dimensions. The wrapper must allow space for longitudinal and end seals as well as the product thickness. Supply the finished product envelope and intended wrapping route before setting the artwork repeat.

Format referenceMaterial or construction to clarifyDetails to include in the brief
Chocolate and energy-bar wrappersTransparent or paper-look flexible wrapping construction; product-contact layer and sealant are specified for the contents.Bar length, width and thickness; wrapping direction and print repeat.
Side-gusset pouchesPaper-look and opaque or foil-look laminates are illustrated; confirm the actual inner and outer layers for the contents.Face width and side-gusset convention; filled height and headspace.

Use the reference pictures to identify the base, side panels, window or opening that you mean. A picture cannot supply the missing dimensions or material layers. If a photograph shows a finish or closure you do not want, state that difference explicitly; otherwise a visual reference can introduce an unintended requirement.

Complete the record before requesting the next sample

  1. Attach an unwind diagram approved from the loading position. Identify the product or SKU and the date of the observation.
  2. Record the printed side and artwork reading direction. Keep confirmed information separate from proposed values and questions for the supplier.
  3. Add the actual fill weight or volume, the dimension convention, material proposal and intended closure. Include the number of designs and quantity per design when requesting a quotation.
  4. State which question the next drawing, sample or quotation must resolve. A change of size, closure or material should remain visible alongside the earlier reference.

This record makes the next conversation specific. It lets the design, purchasing and packing teams work from the same proposed item and shows which decision still needs evidence. Review the related product pages for format details, or prepare a custom packaging brief with the unresolved requirements.

Order against the confirmed envelope

Use the sheet revision in the order and receiving reference. Ask for written acknowledgement of any proposed deviation before shipment. Recheck the envelope if the packing site, structure, width or normal reel target changes. An explicit receiving record helps prevent a routine reorder from becoming an unplanned equipment or handling question when the shipment arrives.

Send the completed receiving-envelope sheet with your product and filling details to Navkar Poly Print for a project-specific discussion. Ask for the proposed specification, evidence required and open questions to be recorded before quotation approval.
